• Out of print/In case you want us to search...
  • Consult with selector as to whether order should be cancelled or kept open and searched.
  • If order is to be cancelled, annotate according to cancellation procedure. Put in basket for cancellations which are not to be mailed.
  • If order is to be kept open, annotate order "out of print, asked Harr to search [date,initials]. Annotate the vendor report "Please search" [date, initials] and put in mail basket.
• Still not available, shall we keep order open...
  • Consult with selector as to whether order should be cancelled or kept open and searched.
  • If order is to be cancelled, annotate according to cancellation procedure. Cancel order and mail cancellation along with the original report.
  • If order is to be kept open, annotate order "still not available, asked Harr to keep order open "[date,initials]. Annotate the vendor report "Please keep order open" [date, initials] and put in mail basket.
  In both the above cases, if you are dealing with a faxed report, give the annotated reply to the secretaries to return fax rather than mailing.
