Technical Services Newsletter March 2005 (Issue 6)

 

The purpose of this newsletter is to provide summary information about activities in the three divisions of Technical Service that may be of interest to the library staff. Moves in Catalog and Order Divisions:

During January staff in Catalog and Order Divisions moved locations to reflect the new organization of Catalog Division teams. Some Catalog Division staff moved from the second floor to the first floor, others from the first floor to the second floor. In addition Monograph Acquisitions Unit staff in Order Division moved to accommodate the changes in Catalog Division. The Technical Services Secretarial Unit has relocated and both Rick Schulz and Katharine Farrell have moved to different offices. Rick to the corner office and Katharine into Rick’s former office. The results are a marked improvement in our ability to navigate through the room on the first floor, and plentiful natural light that penetrates all through the office. Catalog Division:

Collection level cataloging: Catalog Division conducted a workshop in January to familiarize a wider pool of catalogers in how to catalog collections.  Collection-level cataloging groups material related in some manner--issuing person or body, subject matter, format, etc.--and creates a single catalog record describing them as a set.   If you have pamphlets files, technical reports, or other groups of related material, which is not cataloged for which you think collection-level treatment might be appropriate, please contact Joyce Bell (joyceb@princeton.edu).  This is a great way to send low-use, un-cataloged publications to ReCAP.

Changes in Holdings and Records Maintenance Sections: With the retirement of Maryann Langer, the Holdings and Record Maintenance Team now reports directly to Marie Wange-Connelly. Questions regarding transfers, withdrawals, recap, recon, and holdings and item problems can be directed to her. Marie can be reached at 8-2309 or wange@princeton.edu .

 Circulation Division:

Spring term reserves processing: As of February 10 th, the Firestone Reserves staff had processed approximately 130 Course Reserve Requests, of which 76% have an electronic reserve component.  The total number of courses processed is about the same as it was at this time last year, but the percentage of courses with electronic reading component has increased.  All electronic course readings are now being made available using Adobe Acrobat. 

Firestone shelving: The start of the new term has seen the return of shelf reading to the Firestone Stacks.  Small shifts are also underway in the HF-HG sections on A-Floor, in the HV-HX section on B-Floor, and in the C section on C-Floor.  The B-Floor shift is being done to integrate a small "overflow" area that is required for the fast-growing "HV" collections. Shelving staff have also begun to process items from the H classification in the Forrestal Annex for ReCAP

Metadata:

The Digital Library Operations Group (ClayRedding, Roel Munoz, Kevin Clarke, Phil Menos, Robert Milevski) is working on a prototype digital library of images and metadata.  It will be based on 5 collections:
-- Calixtus Bull
-- Western Americana Stereographs
-- Board of Trustees Minutes, Volume 2: 11 April 1797 – 25 September 1823
-- Historic Postcards of Princeton University
-- Gender in the Academy (a book published by Princeton University in 1990)
The prototype will deliver full-text searchability of all the materials, leveraged from Text Encoding Initiative and VRA Core metadata.  Users will also be able to interact with the images through zooming, panning, and rotation tools.

   

 

 

 

Order Division:

 

Visitors: On February 14 th, Order Division hosted two librarians from William Patterson University, who had requested advice and assistance in implementing full serials control using Voyager. Pamela Theus and Judy Matthew spent a full morning talking with Order Division managers and benefiting from the experience of our staff. On March 9 th , the Shelf Preparation Units of Order Division hosted Illene Rubin and Rachelle Nelson of the University of Pennsylvania, who are looking at ways to reorganize and streamline their binding and shelf preparation processes, and were suitably impressed with the efficiency they saw.

ITSO update: We have received and loaded into a separate region of Voyager the back file of approximately 86,000 records produced by LC between January 2004 and January 2005. The next step is to distribute these records to “buckets” based on LC classification ranges specified by selectors. However, the latest patch to Voyager must be tested and installed on the production system before this can happen. That has not yet been scheduled. The work of creating buckets is ongoing; selectors who have not yet established these profiles will be contacted in the next few weeks by a member of the Acquisitions Advisory Group to do. ITSO is the Integrated Tool for Searching and Ordering that was developed at Cornell and is being implemented. The Acquisitions Advisory Group is serving as the test group of selectors and coordinating with their colleagues in setting up selector profiles.
