Subject: Notification policy for vacation and optional holiday leaves of absence

The terms under which staff are permitted to take and schedule vacation leave are set forth in Human Resources Policy 318 in conjunction with Article XIV of the contract between Princeton University and PULA. HR Policy 318 notes that vacation may only be taken with the explicit permission of the supervisor, and that: Employees should request vacation time in advance of the proposed leave period to give supervisors maximum opportunity to arrange schedules to accommodate the employee's request and adequately staff the workplace. A similar proviso applies to scheduling time off for optional holidays. The amount of advance notice required when requesting time off for either of these leave categories, will vary among units according to their respective missions and requirements dictated by their specific responsibilities. However, to foster and maintain a sound business-like work environment, it will be expected as a general rule, applicable to all staff of Technical Services, that a minimum of one week's notice to their supervisor will be given when requesting leave for vacation in any measure or to take leave charged as an optional holiday.
Staff should expect to provide significantly more than a week's notice for lengthy periods of vacation, if they expect that their supervisor will be able to approve their plans while fulfilling his/her obligation to adequately staff the workplace. Supervisors will have discretion to grant exceptions to the one week's notice requirement to accommodate exceptional staff circumstances, and will make such accommodations if they can reasonably do so without compromising their primary obligation to adequately staff the workplace.
