Getting Started with EndNote 8


EndNote is a citation management software package that allows you to create a personalized, searchable database of your bibliographic citations. Once you've created your own "libraries," you can create a standalone bibliography or insert the bibliographic information seamlessly into a Microsoft Word Document.

Basically, the use of EndNote requires that you understand three primary functions:

Importing Citations into EndNote -- Using EndNote connection files and filters
Managing your EndNote Library -- Creating, storing, editing, sorting, and searching references
Generating Bibliographies -- Inserting and formatting citations in a paper; creating independent bibliographies


Importing Citations into EndNote

You can import citations into EndNote using two different methods, connection files and import filters. Connection files allow you to search library catalogs and databases through EndNote and then directly import citations. Import filters allow you to search a library catalog or database, save the citations as a text file, and then import the text file into EndNote.

Note: EndNote 8 includes a number of connection files. However, with the exception of the Main Catalog connection files, you will be unable to use many of the connection files included with EndNote due to database licensing and security restrictions. For most databases, you will instead need to use available filter files.

Connection Files -- To access an EndNote connection file, go to the Tools menu, and click on Connect (or use the Connect button in the toolbar). Navigate to the appropriate connection file and click Connect. Enter search terms in the search box and click on the Search button. A temporary window will appear which contains the search results (double click to open and view individual citations). You can copy all references to your EndNote library by clicking on the Copy All References To pulldown menu and then selecting a library to which the references will be copied. You can also copy selected citations to your library by selecting the citation and clicking on Copy <1> Reference To (the number will change according to the number of references selected). To select more than one record, hold down the Control key (PC) or the Apple key (Mac) while using the mouse to click on the records. The records are now part of the EndNote library, so when closing the temporary window you can "Discard" the records when prompted.

Import Filters -- Import filters allow you to import citations into an EndNote Library by indicating the particular database service from which the citations have been saved. Once you have searched a database and saved the references in the appropriate format, go to the File menu, then select Import or click on the Import button in the toolbar. Navigate to the text file containing your saved records by clicking on the Choose File button. Under the Import Options pulldown menu, select Other Filters, navigate to the appropriate filter, and click on Import. EndNote will import the new citations into the library, but only the new citations will be showing. To see the whole library, select Show All References from the References menu. (to top)


Managing your EndNote Library

To open a reference in EndNote, double click on the reference. EndNote stores information about citations in different Reference Types that can be edited, including Journal Article, Book, etc. To change to a different field, click your mouse in the field or use the Tab key. To close the reference, click on the X (PC) or click the close button in the top left (Mac). Changes are automatically saved upon closing the reference.

Sorting -- To sort by the fields that are showing, click on the Field name (Author, Title, etc.). Click on the field name again to switch from ascending to descending order. For a complete list of sorting options, go to the References menu and click on Sort Library, or use the Sort Library icon in the toolbar. Use the pulldown menus to select how you want to sort your library, and use the icons on the right side of the window to indicate ascending or descending order.

Searching -- To search, go to the References menu, click on Search References, or click on the Search icon in the toolbar. Enter the search term in the search box and select the field by using the pulldown menu. You can also use the Boolean operators And, Or, and Not by clicking the appropriate radio button. The dialog box provides a number of other search options, such as saving your search and adding search fields.

Creating and Editing References -- Add a new reference to an EndNote Library by going to the References menu and choosing New Reference (or click on the New Reference icon in the toolbar). Choose the Reference Type from the Reference Type pulldown menu, enter the citation, and close the reference. EndNote will automatically save the citation and insert it into the library alphabetically. Existing references can be edited (double click to open) and changes will also be saved automatically. Generating Bibliographies

Inserting Citations into a Microsoft Word Document

Make sure the appropriate EndNote Library and Microsoft Word document are both open.

1. In Word, place your cursor where you want to insert your citation. Go to the Tools menu, click on Go to EndNote.
2. In EndNote, select the citation you want to insert into your Word document. Go to the Cite While You Write menu, and click on Insert Citation. EndNote will insert the selected citation in your Word document and format the reference.

Formatting -- Before formatting, select a style for the bibliography. In EndNote, go to the Edit menu, then Output Style, and select Open Style Manager. Choose the desired style(s), by clicking in the appropriate check boxes in the far-left column (On the Mac, this is called the Favorites column). If you are not sure of the exact style you need, you can Find all the styles that pertain to your discipline, and then Mark All. When in Word, you go to the Tools menu and click on Format Bibliography. (Remember to Remove Field Codes in order to share the document with others.)

Creating Independent Bibliographies -- To create an independent bibliography, go to EndNote and select the citations you want to include in the bibliography and the appropriate style(s) as discussed above. Go to the Edit menu, and click on Copy Formatted. Go to your word processor, and paste the citations into your document (to paste into Word, go to the Edit menu, and select Paste). Word places all the citations single-spaced unless otherwise specified.
