Support Staff Classification Information

Classification of New Positions
A position description for each newly created support staff position will be sent to the Classification Review Board by the Human Resources Librarian with a proposed grade level before such position is posted. The Board will then review the Position Description and advise the Human Resources Librarian whether it concurs with the proposed grade.The review and recommendation by the Board will be sent to the Human Resources Librarian within 5 business days of their receipt of the Human Resources Librarian's proposed grade. If the Board's recommendation is not received within 5 business days, the Human Reources Librarian may post the position but the grade shall be designated as "Temporary" until such time as the Board makes its recommendation and the Human Resources Librarian makes a decision regarding that recommendation.

Reclassification Process
For a support staff position to be considered for reclassification, a new position description form must be submitted as follows:
*signed paper copies to: the two convenors of the Classification Review Board and the Human Resources Librarian
*electronic copies to: all the members of the Classification Review Board and the Union Executive Council representative.

The deadline for submittal is 15 working days prior to the meeting dates of the Board (see "Submittal/Meeting Dates") . At the time of submission, the position description form must be accompanied by a cover letter from the direct supervisor of the incumbent and all signatures must be in place. If there is no cover letter, or if all signatures are not present, the form will be returned to the incumbent to be resubmitted for future consideration. Please understand that it may take several days to get signatures from your supervisors since they will need time to read your position description form. Therefore, please plan ahead.

After the Board meets, the HR Librarian will send a letter to the supervisor and the incumbent, explaining the Board's decision. Please allow five working days for these letters as sometimes there are several reclass requests. At no time will any Board member discuss results with the incumbent or their supervisor until these letters have been sent out.

Staff members and supervisors preparing reclassification requests may find it useful to read through existing position descriptions, available in the Library Human Resources Office or through any Board member, or to attend the workshop on position descriptions scheduled periodically by the Staff Development Librarian.
