Frequently Asked Questions about Outlook 2003

Q. Can I create a setting that will automatically open my inbox as I log into Outlook?

A. If you have Outlook version 2002, it is not possible to have the program open to your IMAP Inbox. If you have version 2003 (which everyone should have eventually), yes, there is a setting which will make the program open to your IMAP Inbox. In the Tools menu, choose Options--Other tab--General--Click on Advanced Options. At the top of the screen, next to "Start up in this folder," click on the Browse button and select Inbox in the list of your IMAP folders. Then click "OK" 3 times to exit the dialog boxes. The next time you open Outlook, it should open to your IMAP Inbox.


Q. How can I enter nicknames in an Outlook Contact?

A. When you open a new Contact window, there are several tabs displayed across the top of the screen. The first one, the General tab, is the one that is visible first. If you click on the next one, the Details tab, there is a field there to enter the nickname (4th line down, on the left). There are also other ways to enter nicknames, and Outlook keeps a file of partial names that you have typed in before, and searches that file automatically when you begin to type an address in an e-mail message. (It's a feature called AutoComplete name suggesting, and you can turn it off if you don't like it.)


Q. Where can I find the keyboard shortcuts for Outlook buttons and mouse clicks?

A. They are part of the online Help in Outlook. If you do the following, you will find them:

  1. Open the Help menu in Outlook.
  2. Click on Microsoft Office Outlook Help. [Instead of Steps 1 and 2, you can just click on the question mark in the blue circle on the toolbar.]
  3. In the white search box that appears on the right of your screen, type keyboard, and click on the green arrow.
  4. The first item that appears in the list of results is Keyboard shortcuts.
  5. If you click on that, the program will open a window which has information on shortcuts which apply to the Office interface. Following that (scroll down) there is a section on Outlook shortcuts.
    The CTRL+K for Check Names is not under the section For e-mail, but under the previous section For all items.

Q. How can I have my Outlook Address Book open with Contacts on top?

A. Follow these steps:

  1. On the toolbar select Tools menu, then Address Book. This will open your Address Book.
  2. In the Address Book dialog box, select the Tools menu, and then Options.
  3. In the Addressing dialog box, in the Show this address list first box, select Contacts from the drop down list.
  4. Click OK and close your Address Book. The next time you open your Address Book, Contacts should be on top.

Q. Can the system be set to automatically move to the next message in the list when I delete a message.

A. NOTE: This will only work if you are viewing messages in a separate window, and not in the Preview Pane. To set the system to move automatically to the next message after deleting an open message:

  1. On the Tools menu, choose Options.
  2. On the Preferences tab, choose E-mail Options.
  3. On the top line, select Open the next item from the drop-down box.
  4. Click OK twice.

Q. If you send a message in HTML, and it is received with a plain text e-mail system, such as Pine, will the recipient be able to read the message?

A. YES, the recipient will be able to see the text, but not any special fonts, colors, or pictures included in the message. When you send an HTML message to recipients whose mail program doesn't understand HTML, their mail program automatically displays a plain text version in the message body. When you reply to a message, Outlook automatically uses the format the message was created in, usually plain text or HTML.


Q. In what order does Outlook check your address books for names you type in the "To" or "Cc" box of an e-mail message? Which comes first personal Contacts or the Princeton ldap Directory?

A. To see what order Outlook is using, open the Address Book window on the Tools menu. In the Address Book dialog box, choose Tools, then Options. Note the section "When sending mail, check names using these address lists in the following order." If you wish to change that order:

  1. Click the up and down arrow buttons that appear with the When Sending Mail list to rearrange the address book order in the list.
  2. Click OK to close the dialog box.

Q. Sometimes there is just a name showing in the "To" or "Cc" box of an e-mail message I am composing. How can I see the e-mail address?

A. You can right-click on the name with your mouse, and choose Outlook Properties or Look up Outlook Contact from the resulting menu. NOTE: This will work only if Outlook has recognized the name, i.e., it is underlined.
